DIGITAL LOG · SALES PLAYBOOK

Enter every customer conversation discovery-ready.

A practical workspace for positioning Digital Log, recognizing a strong-fit opportunity, preparing for the meeting, and guiding a disciplined discovery conversation.

YOUR DISCOVERY OBJECTIVE
Understand how operational information is captured, moved, reviewed, and acted upon—before positioning Digital Log.
  • Confirm a meaningful business problem
  • Identify its impact and owner
  • Determine fit and next step
01

Quick Reference

Use this section when you need the message quickly. Use the deeper sections when you are preparing for or conducting discovery.

1A

Core Positioning

The concise value statement to keep at the center of every Digital Log conversation.

Digital Log replaces paper forms, manual logbooks, and spreadsheet-based records with structured mobile workflows—turning human-generated operational information into timely, searchable, enterprise-ready data.
1B

Product Refresher

Three levels of value, from field capture to an enterprise information asset.

01
WHAT IT DOES

Capture at the point of work

Operators, technicians, inspectors, and field personnel record information electronically where the work happens.

02
IMMEDIATE BENEFIT

Standardize and accelerate

Improve data quality, reduce duplicate entry, speed reporting, and make records available across shifts and departments.

03
THE BIGGER PICTURE

Create an enterprise data asset

Combine human-generated data with OT and IT sources for dashboards, KPIs, analytics, integration, and AI.

1C

Discovery

A practical before, during, and after sequence for each customer conversation.

A. BEFORE

Review, then form a hypothesis

Research the organization and prospect. Send the questionnaire, receive and review the response, resolve any necessary clarifications, then prepare two or three likely manual-workflow hypotheses without assuming they exist.

B. DURING

First ... Let the customer describe

Explore the current process and its business impact. Listen for evidence; resist the urge to demo too early.

Then .... the Video, the PPT and the Demo

After fully drawing out as much from the customer as seems reasonable, offer to share the Product Intro Video, the Value Proposition presentation, and then the Demo.

C. AFTER

Qualify and advance

Confirm fit, problem ownership, next steps, and any opportunity to expand into other Octopus Digital offerings.

02

Reference Materials

Review the approved collateral and the public sources a prospect may have seen. The objective is to enter the meeting familiar with both the official sales message and the prospect's likely pre-meeting research.

03

Messaging

Use a consistent message without sounding scripted. Start with the customer's current process and business consequence; introduce Digital Log only after relevance has been established.

3A

Messaging Do's and Don'ts

Use accurate, value-led language and avoid claims that overstate, oversimplify, or pre-empt discovery.

SAYAVOID
"Digital Log structures human-generated operational information so it can be acted on, searched, analyzed, and governed.""It is an app that replaces paper forms." That is true but understates the value.
"Let's first understand the workflow, delay, risk, or visibility gap your team experiences today."Leading with a feature list or promising that the product solves a problem that has not been established.
"A defined initial use case can be configured and piloted quickly; we will confirm timing after scope is agreed."Making an unconditional seven-day implementation promise before delivery complexity is understood.
Use only approved customer quotes, proof points, links, and context.Detaching a metric from its industry or implying a general company testimonial is specific to Digital Log.
3B

Messaging Templates

Personalize the bracketed fields and include only current, marketing-approved links or attachments.

Review HubSpot before outreach: Before using any template or sending any email, review the prospect's prior interaction history in HubSpot, including relevant communications, meetings, notes, and associated Deal activity. Use this context to determine the appropriate outreach and personalize the message.

Company and Prospect Research

Use the following sequence as preparation guidance. As part of both company and prospect research, refer to the information already in HubSpot, but do not treat HubSpot as the single source of information. In addition, engage AI tools to help you find and study relevant information. You can also use conventional methods, such as Google Search, to do your homework. The main point is that the success of the discovery will largely rely on the extent to which the prospect recognizes that you are a serious seller and have properly done your preparation.

Open HubSpot CRM ↗
1
Research the company
  • Industry, products, and major processes
  • Facilities, employees, and geographic footprint
  • Recent expansions, acquisitions, or new lines
2
Research the prospect
  • Role, department, and responsibilities
  • Likely business priorities
  • Manual information they may own or use
3
Customer Questionnaire
Customer Questionnaire
Use the current questionnaire when it is appropriate for the prospect.
Open Customer Questionnaire ↗
  • Send the questionnaire when appropriate; refer to Section 03 of this playbook for sample copy.
  • Confirm the response was received
  • Study the completed response and Octopus-internal Brief
  • Resolve clarifications, if needed
  • Identify and prepare the specific topics to explore during discovery
Sample Customer Scenario
For reference, the link here will download a PDF file to your system that describes a realistic potential customer for Digital Log. In this scenario, a potential customer was identified by Marketing, then contacted by Sales, and then given the Questionnaire link. The customer completed the Questionnaire, and the Octopus-internal Brief was downloaded.

4
Update CRM

At each step of the way, update the applicable Deal stage in HubSpot and record all communications and notes related to this potential Deal.

07

Conduct Discovery

Use the completed questionnaire and internal brief to focus the conversation—not to replace discovery. Let the customer explain the current state, validate fit, and leave with enough information to define the appropriate Digital Log scope without rushing into a presentation, demo, or price. Once sufficient discovery has been completed and the customer agrees, use 7C to transition into a relevant product introduction and business-impact demonstration.

Golden RuleThe customer should spend more time describing their current process than you spend describing Digital Log.
7A

Suggested Openings

Choose the opening that matches whether a completed questionnaire has been received.

QUESTIONNAIRE RESPONSE RECEIVED

"Thank you for completing the questionnaire. Your responses have given us useful context and should help us have a focused, efficient, and productive session today. I'd like to explore a few of your responses in more detail and better understand how your current processes work."

NO QUESTIONNAIRE RESPONSE RECEIVED

"Before I show you anything about Digital Log, I'd like to understand how manually recorded operational information—if any—is currently captured and managed in your facility. Would it be OK if I asked you a few questions?"

7B

Discovery Do's and Don'ts

Keep the conversation customer-led while making the discovery commercially complete.

✓ Do
1
Conduct the Conversation
  • Listen first. Ask open-ended follow-up questions, let the customer speak more, and explore the business impact before discussing solutions.
  • Use the questionnaire intelligently. Probe important responses, resolve gaps, and test the hypotheses in the internal brief; do not simply repeat every question.
  • Close the loop. Summarize the shared understanding, confirm unanswered questions, and agree on the owner and timing of the next step.
2
Establish Scope and Proposal Inputs
  • Establish the business case. Confirm the current workflow, evidence of the problem, operational and business impact, ownership, urgency, desired outcomes, and decision process.
  • Define the likely scope. Identify the use cases and workflows, the approximate number of checklists, and the expected number of concurrent users.
  • Explore every relevant paid capability. Confirm whether Offline Mode and Report Builder are needed.
  • Explore the associated services. Determine whether Checklist Configuration, Report Configuration, or System Integration services are needed—and the likely quantity or target system.
  • Understand cost appetite. Ask about budget expectations, approval constraints, and whether there is a price level that would make the initiative impractical.
  • Cover the complete relevant offer. Confirm needs before excluding higher-value capabilities or services; do not unintentionally undersell.
3
Explore Adjacent Opportunities
  • Listen for OmniConnect signals. Explore OmniConnect when manual information should be combined with sensor, production, maintenance, ERP, dashboard, or analytics data.
  • Listen for OmniChat signals. Explore OmniChat when the customer wants conversational access to procedures, records, or enterprise knowledge.
  • Weave cross-sell in naturally. Use the customer's evidence to ask a few relevant questions, capture the opportunity, and agree on an appropriate follow-up without pulling the session away from Digital Log.
× Don't
  • Do not dominate or interrupt. The customer should spend more time describing the current process than you spend describing Digital Log.
  • Do not treat the questionnaire as completed discovery. It provides preparation and direction; the live conversation must validate and deepen the understanding.
  • Do not rush into the Value Proposition presentation or a demo. Introduce only what is relevant after the customer's needs are understood.
  • Do not jump to Basic or Premium too early. First establish the actual checklist, concurrent-user, feature, and integration requirements.
  • Do not omit options to make the apparent entry price lower. Failing to explore paid capabilities and services can produce an incomplete solution and lost value.
  • Do not quote, discount, or commit prematurely. Final pricing follows confirmed scope and the authorized pricing process.
  • Do not ask about affordability confrontationally. Explore budget range, business-case expectations, approval thresholds, and constraints professionally.
  • Do not force a cross-sell. OmniConnect or OmniChat should be explored only when the customer's evidence creates a clear reason.
  • Do not turn discovery into a catalog presentation. Stay with the customer's priorities and keep Digital Log in its lane.
  • Do not leave important assumptions unresolved. Confirm scope, stakeholders, commercial constraints, remaining gaps, and the agreed next action before closing.
7C

Product Intro, Value Prop, and Demo

These are common and useful elements of a discovery session—but they should follow sufficient customer discovery, not replace it. Ask the customer's permission to continue, then use the sequence below and keep every item relevant to the needs and business impact just discussed.

STEP 1

Product Introduction Video

With the customer's agreement, begin with the concise approved Product Introduction Video. It provides a shared overview before moving into the presentation or demonstration.

This is the same video provided in Section 2 of this playbook, repeated here for convenience.

Watch Product Introduction Video ↗
STEP 2

Standard Value Proposition

Next, open the approved Value Proposition presentation. Emphasize the messages and proof points that connect to the customer's current process, stated problems, desired outcomes, and business impact.

This is the same presentation provided in Section 2 of this playbook, repeated here for convenience.

Open Value Proposition ↗
STEP 3

Business-Impact Demo

Then move into a demo focused on the customer's likely operational and business outcomes. A qualified demo expert should preferably conduct the canned demo live—in person for an in-person session or virtually for an online session.

If a live expert is not available, play an approved recording of a qualified demo expert presenting the canned demo with the same business-impact focus. The demo must never become a features-and-functions tour.

9B

Competitor Briefs

Use the sales angle as a discovery prompt, not as a claim that Digital Log is universally better.

PlantLog

Direct rounds
Public position

A highly configurable rounds and logbook product with offline mobile capture, schedules, barcodes, exception limits, audit trails, and substantial reporting.

Digital Log sales angle

This is a genuine direct competitor, especially when the buyer wants a simple facility-level solution. Differentiate through broader workflow coverage, approvals, industrial context, and the path to combine human-generated data with enterprise and OT information. Do not dismiss PlantLog as merely a basic app.

Commercial

Basic $269/month, Plus $479/month, and Premium $1,089/month, with stated user, log, journal, and storage limits. Month-to-month service, a 45-day trial, plan extensions, and multi-account discounts are published.

Innovapptive Operator Rounds

Connected worker
Public position

An industrial connected-worker offering with AI round authoring, historian- and sensor-triggered rounds, offline mode, shift handovers, issue management, work-order creation, and packaged ERP and historian integrations.

Digital Log sales angle

This is one of the strongest direct enterprise comparisons. Qualify the importance of AI-assisted authoring, dynamic OT triggers, and packaged SAP, Maximo, Oracle, PI, or IP21 integrations. Position Digital Log around a focused initial use case, configurable human-data workflows, and fit within the wider Octopus Digital architecture.

Commercial

Public dollar pricing is not posted. Innovapptive uses a demo- and sales-led commercial process.

Honeywell Inspection Rounds

Industrial enterprise
Public position

An end-to-end industrial rounds product with asset and task configuration, schedules, issue authorization, alarms, online/offline apps, GPS, QR/barcode, multilanguage support, multilevel approvals, and named SAP, historian, SQL, and Honeywell integrations.

Digital Log sales angle

Treat Honeywell as a substantial enterprise industrial competitor. Differentiate on customer fit, deployment responsiveness, workflow flexibility, Azure and Octopus platform alignment, and commercial agility where validated. Do not claim feature or integration superiority without a requirement-by-requirement review.

Commercial

Public dollar pricing is not posted. Honeywell directs prospects to request a demo and commercial engagement.

Vitralogy SmartRounds

Facility rounds
Public position

Digital facility rounds, inspections, meter readings, preventive maintenance, and shift procedures with alerts, QR tags, CMMS handoff, shift reports, signatures, and audit-ready records.

Digital Log sales angle

A close competitor for data centers, healthcare, telecom, and commercial facilities. Differentiate through cross-workflow flexibility, broader industrial use cases, approvals, and the enterprise data path. Qualify the customer's need for SmartBinder-style facility documentation and direct CMMS work-order creation.

Commercial

Public dollar pricing is not posted. The commercial path is a scheduled demonstration and vendor quote.

M1 Encompass

CMMS / EAM
Public position

A broader facility-management platform whose Safety/Rounds function links findings to assets, compliance records, corrective work orders, assignments, dashboards, search, and audit documentation.

Digital Log sales angle

If the customer wants to replace or acquire a full CMMS, CAFM, or EAM, M1 is broader. If the customer intends to retain existing systems and digitize multiple human-generated operational workflows, Digital Log is the more focused comparison. Confirm integration and system-of-record expectations.

Commercial

Custom facility- and portfolio-based pricing. M1 publicly states unlimited users, assets, work orders, mobile access, and requestors; remote configuration, virtual onboarding, data-migration assistance, and support are included. A 30-day trial is offered.

Nuvolo Work Rounds

IWMS / CMMS
Public position

Work Rounds within Nuvolo Connected Workplace, a ServiceNow-based IWMS and CMMS. Public materials emphasize sequenced mobile routes, barcode verification, corrective work orders, flexible scheduling, and real-time progress dashboards.

Digital Log sales angle

Nuvolo is strong when ServiceNow and broader workplace, facility, and asset-system consolidation are strategic. Position Digital Log where the priority is operational workflow digitization and OT/IT data context without a wholesale workplace or CMMS transformation.

Commercial

Public dollar pricing is not posted. The commercial path is a demonstration and vendor quote.

Fulcrum

Field operations
Public position

A flexible field-operations platform with an offline app builder, multimedia capture, conditional logic, geospatial capabilities, APIs, webhooks, and AI-assisted functions.

Digital Log sales angle

Fulcrum is particularly strong when mapping, GIS, and broadly configurable field data collection drive the purchase. Position Digital Log around plant and facility operations, governed workflows, approvals, and the Octopus Digital data environment. Qualify geospatial depth early.

Commercial

Professional is $43 per user/month and Elite is $55 per user/month, with a five-user organizational minimum. Enterprise pricing is custom and includes unlimited users; a free trial and demo are promoted.

MetaField

Vertical platform
Public position

A connected field, lab, office, reporting, and billing platform purpose-built for geotechnical engineering, construction materials testing, and inspection firms.

Digital Log sales angle

MetaField has meaningful domain depth in its home vertical, including standards-based forms and lab workflows. Position Digital Log where the requirement extends into plant operations, multiple operational workflow types, or integration with wider OT and IT data—not as a replacement for specialized CMT or geotechnical functions.

Commercial

Professional and Enterprise packages are published, but dollar prices are not. MetaField states that its team handles setup, configuration, forms, reports, and onboarding, with firms able to go live in as little as two weeks.
